While most tenancies progress smoothly without additional charges, there are certain situations where tenancy-related costs may apply in accordance with the tenancy agreement and current legislation.

This page outlines permitted payments that may become applicable during your tenancy, including unpaid rent, replacement keys, tenancy variations, tenant replacements, and early termination requests.

Unpaid Rent

Information regarding late rent payments and tenancy arrears

Tenants are responsible for ensuring rent payments are made on time in accordance with the tenancy agreement.

Where rent remains unpaid, interest may be applied in line with current tenancy legislation and tenancy terms. Our team will always aim to communicate with tenants professionally and work towards resolving any payment concerns as early as possible.

Important information regarding unpaid rent:

  • Rent payments must be made in accordance with the tenancy agreement

  • Interest may be charged on outstanding rent balances

  • Communication regarding arrears will be provided where applicable

  • Support may be offered to help resolve payment concerns

  • Tenancy arrears may affect the continuation of the tenancy agreement

  • Professional communication will be maintained throughout the process

 
Please Note:

 

Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. This will not be levied until the rent is more than 14 days in arrears.

Lost Keys & Security Devices

Replacement costs for lost keys, access devices, and security systems

Tenants are responsible for the safekeeping of all keys, fobs, and security access devices provided during the tenancy.

Where keys or security devices are lost, replacement costs may apply, particularly where locks require changing or contractors need to attend the property to restore security access.

Important information regarding lost keys and security devices:

  • Tenants are responsible for property keys and security devices

  • Replacement costs may apply where keys are lost

  • Locksmith attendance may be required in certain situations

  • Lock replacements may be necessary for security reasons

  • Emergency contractor attendance may incur additional costs

  • Replacement access devices may be chargeable

 

Please Note:

 

Tenants are liable for the actual cost of replacing any lost key(s) or other security device(s).

If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord, and any other persons requiring keys will be charged to the tenant.

 

If extra costs are incurred, there will be a charge of £15 per hour (inc. VAT) for the time taken replacing lost key(s) or other security device(s).

 

Our team will always aim to resolve security access issues as quickly and professionally as possible.

Variation of Contract

Tenant-requested tenancy agreement changes

From time to time, tenants may request changes to their tenancy agreement or tenancy arrangements. This may include amendments to tenancy terms, contract updates, or additional legal documentation.

Where changes are requested by the tenant, administration and preparation costs may apply.

This covers the costs associated with taking landlord’s instructions as well as the preparation and execution of new legal documents.

 

Our team will provide guidance throughout the tenancy amendment process where required.

Change of Sharer

Tenant replacement requests within shared accommodation

Within shared accommodation and HMO properties, there may occasionally be circumstances where a tenant wishes to be replaced during the tenancy term.

In these situations, referencing, Right-to-Rent checks, legal documentation updates, and tenancy administration processes may be required before the replacement tenant can move into the property.

Important information regarding change

of sharer requests:

  • Replacement tenants must complete referencing checks

  • Right-to-Rent checks are required

Please Note:

 

£50 (inc. VAT) per replacement tenant or any reasonable costs incurred if higher.

 

This covers the costs associated with taking landlord’s instructions, new tenant referencing and Right-to-Rent checks, deposit registration, as well as the preparation and execution of new legal documents.

 

Our goal is to ensure tenant changes are handled professionally and efficiently while maintaining tenancy compliance.

Early Termination

Information regarding tenant-requested early tenancy termination

If a tenant wishes to leave the tenancy before the end of the agreed fixed term, costs associated with reletting the property and any outstanding tenancy obligations may apply.

Our team will always aim to communicate clearly regarding the process and support tenants through the transition wherever possible.

Important information regarding early termination requests:

  • Early termination requests must be agreed by the landlord

  • Reletting costs may apply

  • Outstanding rent responsibilities may continue until replacement tenancy begins

  • Replacement tenant sourcing may be required

  • Legal tenancy obligations remain in place until formally ended

  • Professional guidance will be provided throughout the process

 

Please Note:

 

Should the tenant wish to leave their contract early, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy.

 

These costs will be no more than the maximum amount of rent outstanding on the tenancy.
